How to cut no-shows in half with deposits and reminders in GoHighLevel
A no-show costs you the slot, the ad money that filled it, and the customer you could have booked instead. Four settings in the calendar fix most of it.
Across the med spas, clinics and trades I work with, no-show rates before any automation sit between 20 and 30 percent. After the setup below they settle around 8 to 12. Here is what changes.
1. Take a deposit
Even $25 changes behaviour. People who have paid something show up. GoHighLevel calendars connect to Stripe, so the deposit is collected on the booking page and refunded or applied to the invoice later. Make the policy visible: “$25 deposit, fully refundable with 24 hours notice.”
2. Two reminders, not five
A confirmation text immediately, a reminder 24 hours before, and a short one 2 hours before with the address and a map link. More than that and people tune out. Each reminder asks for a reply of YES, which moves the appointment to confirmed in the pipeline.
3. Make rescheduling easier than ghosting
Every reminder includes a reschedule link. Someone who cannot make it will click a link; they will not call to apologise. A rescheduled appointment is a kept appointment.
4. Fill cancellations automatically
When a slot opens, a workflow texts the next three people on the waitlist. First to reply gets it. Empty chairs become rare.
5. Rescue the ones that still miss
Marking an appointment as no-show triggers a friendly text five minutes later with a rebooking link, and another the next morning. Around a third rebook.
